Maintenance on schedule โ€” without overdue jobs or lost receipts

cloudGPS keeps a maintenance plan by mileage or engine hours for every vehicle. Upcoming and overdue jobs land on the dashboard. Service history with scanned receipts, photos, and notes is one click away for every car. For leasing, corporate fleets, and maintenance services.

Why an Excel sheet stops working on a fleet of 10+ vehicles

Excel forgets. It doesn't remind. It doesn't show the big picture. cloudGPS builds the maintenance plan from real mileage and engine hours coming from the GPS tracker, and sends reminders automatically โ€” before you remember on your own.

event_repeat

By mileage or engine hours

Maintenance schedule for each vehicle is defined in km, engine hours, or by calendar (every 6/12 months). The platform automatically calculates the next due date from tracker telemetry.

priority_high

Overdue jobs at the top

The dashboard lists every upcoming and overdue service with color-coded priority. Urgent items get red โ€” you won't miss a critical task.

attach_file

History with attachments

Each completed service can have a scanned receipt, photos of worn parts, and the mechanic's notes. Everything is stored in the vehicle profile and accessible from mobile.

notifications_active

Reminders in advance

Telegram/email/push arrives 7/14/30 days ahead โ€” or at a defined mileage threshold. Separate notifications for the mechanic, dispatcher, and vehicle owner.

payments

Service cost tracking

Each service entry has an amount, currency, and category (oil, tires, repairs). The "cost per km / engine hour" report per vehicle supports lease pricing or replacement decisions.

"5 vehicles need service this week" appears the moment you sign in. No drilling through reports, no risk of missing it.

Who it's for

Segments where planned maintenance isn't a nicety โ€” it's a core part of the business model.

handshake Leasing and rental

When a client returns a vehicle, you need a condition report, completed services, and overdue items. It's part of the contract. Manual tracking on a 50+ fleet is a person-day per week.

  • Dedicated service history per lease agreement
  • Handover/return acts with completed maintenance
  • Mileage tracking per rental period
  • Report for the lessor on vehicle return

apartment Corporate fleet

50โ€“500 vehicles, multiple workshops, different warranty schedules. The risk: an overdue service voids the manufacturer warranty or insurance coverage.

  • Adherence to manufacturer warranty intervals
  • Triggered jobs: by mileage, engine hours, and calendar
  • Access scoping: a mechanic only sees their own workshop
  • "Total fleet cost" report for any period

build Service centers and workshops

Working with customer fleets? Service reminders are your repeat-business channel. Without a system, the customer goes elsewhere next time.

  • Your own database of customer vehicles with schedules
  • Automatic reminders to the customer from your workshop
  • History of your work โ€” solid justification for repair quotes
  • Integration with the workshop's accounting system

How it works

The platform connects to your GPS tracker and tracks maintenance from real telemetry โ€” not from whatever someone remembered to type into Excel.

Define the schedule

Set up the list of recurring jobs for a vehicle type once: oil change every 10,000 km, timing belt at 60,000 km, insurance annually. The template can be cloned across vehicles in the same fleet.

GPS reports mileage and engine hours

The tracker sends mileage automatically (via CAN bus or GPS-derived odometer) and engine hours (CAN readout or external ignition sensor). No manual reconciliation.

Platform calculates the next due date

Using current mileage, cloudGPS calculates the date or mileage for the next service and tracks the countdown. The dashboard shows the "next 30 days" list.

Job done โ€” record it

After service the mechanic or dispatcher closes the job: actual mileage, amount, attachments (receipt, photos). The next cycle starts automatically.

cloudGPS vs Excel / CRM / standalone workshop software

The most common alternative is Excel or a CRM module disconnected from GPS. The difference shows where the mileage counter should update by itself.

Maintenance scheduling FAQ

Everything that gets asked before rollout โ€” from mileage accuracy to accounting integrations.

How does the platform get mileage data?
Two options: (1) from the vehicle's CAN bus via the tracker's FMS connector โ€” as accurate as the factory odometer; (2) from the GPS track by summing distances between points โ€” accuracy of 1โ€“2%. For trucks with CAN โ€” option (1); for passenger cars without CAN โ€” option (2).
How are engine hours counted?
From the CAN bus (accurate) or from an ignition/RPM sensor with a threshold. For special equipment without CAN we install a dedicated ignition sensor. Cumulative engine hours are stored on the tracker and mirrored to the cloudGPS server.
Can multiple schedules be set for one vehicle?
Yes. Each schedule has a trigger (mileage/engine hours/calendar), periodicity, owner, and reminder. Dozens of recurring jobs can run on a single vehicle simultaneously โ€” from oil and filter changes to tachograph checks and insurance renewals.
What does a reminder look like?
A Telegram message with the license plate, job type, deadline (date or mileage), state ("upcoming/overdue"), and a direct link to the service record in the console. You can configure who receives it: mechanic, dispatcher, or vehicle owner.
Can I import service history from Excel?
Yes. History import is part of standard onboarding. Prepare a sheet with "plate, service date, job type, mileage, amount" โ€” we import it in one pass. Attachments (receipt photos) can be added later through the vehicle profile.
Is there an accounting integration?
Yes, via REST API and CSV/XML exchange templates. Service data is exported to your accounting system to post the expenses. The integration is configured together with your accounting specialist during onboarding.
How much does it cost?
The platform is a monthly subscription per vehicle. The maintenance module is included on the Business plan and above. An exact quote is sent within 24 hours of your request โ€” it depends on the number of vehicles and the add-on features (fuel control, video, integrations).
